Privacy Policy

How we handle your personal information.

Last updated: 29 April 2026

Who we are

HeadHunted AI is a Melbourne-based AI/ML recruitment specialist ("we", "us", "our"). We operate headhuntedai.com.au.

What we collect

  • Contact form data: name, email, and message you submit via our contact form. Used solely to respond to your enquiry.
  • Candidate information (when you apply for a role): your CV, contact details, and any information you choose to share. Used to assess your fit for current and future opportunities.
  • Analytics data: anonymised usage data via Google Analytics — only if you accept cookies. We collect page views, button clicks, and conversion events. No personally identifying information.
  • Booking data: if you book a meeting via Calendly, you provide your name, email, and meeting preferences directly to Calendly. Their privacy policy applies to that interaction.

How we use it

  • To respond to your enquiry or hiring brief.
  • To match candidates with relevant roles.
  • To understand site usage and improve our service.
  • To send you role updates if you've explicitly opted in.

How we store it

Contact form submissions are processed by Web3Forms and forwarded to our internal email. Candidate CVs are stored in our secure ATS. Analytics data is stored by Google Analytics in line with their data retention policy. We retain candidate data for as long as necessary to support your career, and you can request deletion at any time.

Third parties

  • Google Analytics — usage analytics (consent-gated)
  • Web3Forms — contact form processing
  • Calendly — meeting bookings
  • Cloudflare Pages — site hosting and CDN
  • Keystatic — content management (admin only, GitHub OAuth)

Your rights

Under the Australian Privacy Act 1988 (and GDPR if you're in the EU/UK), you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of your information.
  • Withdraw consent for analytics at any time (clear your cookies or use a private browsing session).
  • Opt out of communications.

To exercise any of these rights, contact us via the contact form.

Cookies

We use a single category of cookies:

  • Analytics cookies (Google Analytics) — only set after you accept via the consent banner. You can change your choice by clearing your browser storage for this site.

Data breaches

In the event of a data breach affecting your personal information, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

Updates to this policy

We may update this policy as our practices evolve or regulations change. Significant changes will be flagged on our home page.
